De Functie

Als Managementassistent speel je een centrale rol in het creëren van een efficiënte, gastvrije en goed georganiseerde werkomgeving voor alle medewerkers, partners en bezoekers. Je bent het eerste aanspreekpunt voor administratieve, facilitaire en operationele ondersteuning en zorgt ervoor dat alles achter de schermen bij Leli Holland soepel verloopt.

Wat Je Gaat Doen

Office & Facilitair Beheer

• Zorgen voor een schoon, georganiseerd en professioneel kantoor.
• Toezicht houden op schoonmaakpersoneel en waarborgen dat de faciliteit voldoet aan de hygiëne‑ en veiligheidsnormen van Leli Holland; plannen van onderhoud.
• Coördineren van werkplekinrichting, interne verhuizingen en benodigde apparatuur.
• Receptietaken uitvoeren: bezoekers ontvangen/begeleiden, telefoons beantwoorden en algemene vragen afhandelen.
• Zorgen dat alle kantoorapparatuur goed functioneert en onderhouden wordt.
• Eerste aanspreekpunt voor externe partijen.
• Leveranciers‑ en contractbeheer: opvolgen, beoordelen en contact onderhouden met dienstverleners.
• Toegangsbeheer via het ACT‑systeem.
• Inkoop van kantoorartikelen en ondersteuning van andere afdelingen bij bestellingen.
• Signaleren van kostenbesparingsmogelijkheden (leveranciers, afvalreductie, efficiëntieverbeteringen).
• Algemene operationele ondersteuning bieden.

Administratieve & Executive Support

• Agendabeheer, declaraties en ondersteuning bij vergaderingen voor het leiderschapsteam (inclusief notulen en logistieke coördinatie).
• Ondersteunen van onboarding van nieuwe medewerkers (werkplek, documentatie, materialen).
• Beheren van nauwkeurige personeelsdossiers en vertrouwelijke documenten.
• Helpen bij het organiseren van bedrijfsevenementen, vergaderingen en sociale activiteiten (bijv. town halls, teamlunches).

Inkoop & Financiële Administratie

• Aanmaken en beheren van inkooporders; schakelen met Accounts Payable en leveranciers.
• Voorraadbeheer van kantoorbenodigdheden, PBM en verbruiksartikelen.
• Assisteren bij lokale verkoopbetalingen en kasbeheer.
• Ondersteuning bij payrollvoorbereiding en nauwkeurige tijdsregistratie.

HR & Compliance Ondersteuning

• Algemene administratieve ondersteuning bieden aan de HR Manager.
• Medewerkerscommunicatie, welzijnsinitiatieven en engagementactiviteiten ondersteunen.
• Helpen bij naleving van lokale gezondheids-, veiligheids- en compliance‑regelgeving, inclusief cannabisgerelateerde protocollen.
• Waarborgen dat kantoorprocedures voldoen aan Nederlandse wetgeving en compliance‑eisen.

Ondersteunende Taken

Naast de essentiële taken kan deze functie aanvullende werkzaamheden omvatten, afhankelijk van de behoeften van het bedrijf:

• Leli’s kernwaarden vertegenwoordigen: Veiligheid, Verantwoordelijkheid en Vertrouwen.

Overige Taken

• Uitvoeren van andere taken zoals gevraagd, toegewezen of opgedragen.
• Regelmatige aanwezigheid, conform de normen van Leli Holland (onderdeel van Village Farms International, Inc.), is essentieel.
• Taken uitvoeren zoals toegewezen.

Veiligheidsvereisten

• PBM (Persoonlijke Beschermingsmiddelen) kunnen vereist zijn bij werkzaamheden met risico’s. PBM worden verstrekt en training wordt aangeboden.
• Defecte of slecht passende PBM dienen onmiddellijk gemeld te worden.
• Deze functie werkt in zowel een kantooromgeving als in een teeltomgeving.
• Dagelijks gebruik van standaard kantoormateriaal (computers, telefoons, printers, archiefkasten, fax).
• Af en toe kan tillen (tot 10 kg) vereist zijn.

Wat Jij Meebrengt

Opleiding

• Niet van toepassing.

Ervaring

• Minimaal 3+ jaar ervaring in administratieve functies, office management of operationele ondersteuning.
• Sterke organisatorische vaardigheden en multitaskingvermogen.
• Uitstekende communicatieve en interpersoonlijke vaardigheden.
• Discreet omgaan met vertrouwelijke informatie.
• Proactieve, praktische en oplossingsgerichte houding.
• Vaardigheid in Microsoft Office (Word, Excel, Outlook) en digitale systemen.
• Vloeiend in Nederlands en Engels (mondeling en schriftelijk).
• Ervaring binnen een gereguleerde industrie (bijv. farmacie, gezondheidszorg, cannabis, voedselproductie).
• Ervaring met HR‑ondersteuning of executive assistance.
• Ervaring met eventplanning of coördinatie (pré).

Licenties en Certificeringen

• In staat zijn een Verklaring Omtrent het Gedrag (VOG) te verkrijgen.

Dienstverband & Rooster

• Bereidheid om in shifts te werken.
• Primaire werkplek: kantoor binnen onze faciliteit in Groningen.
• Standaard uren: ma–vr, 36–40 uur per week.
• Regelmatig lopen door productiegebieden vereist.
• Af en toe tillen van kantoorbenodigdheden (tot 10 kg)

The Opportunity

As our Management Assistant, you play a pivotal role in creating an efficient, welcoming, and well-organized workplace for all employees, partners, and visitors. You’ll serve as the go-to person for administrative, facility, and operational support—ensuring everything runs smoothly behind the scenes at Lelli Holland.

What You'll Do

Office & Facility Coordination

• Maintain a clean, organized, and professional office environment
• Supervise cleaning staff and ensure facilities meet Lelli Holland’s hygiene and safety standards, scheduling facility maintenance
• Coordinate workspace setup, employee desk moves, and equipment needs
• Manage reception duties including greeting visitors/receiving guests, handling calls, and general inquiries
• Ensure all office equipment is maintained and functional
• First point of contact for external parties
• Vendor & contract management: Tracking, reviewing, and point of contact with service providers
• Access Management (Through ACT System)
• Procurement of office supplies and supporting other departments with ordering process
• Identifying opportunities for cost savings (suppliers, waste reduction, efficiency improvements)
• Supporting general operations

Administrative & Executive Support

• Provide scheduling, expense reporting, and meeting support for company leadership (meeting minutes/coordinating logistics)
• Assist with onboarding of new team members, including workspace setup and paperwork
• Maintain accurate employee records and confidential files
• Help coordinate company events, meetings, and social initiatives (e.g. town halls, team lunches)

Procurement & Financial Administration

• Create and manage purchase orders; liaise with Accounts Payable and vendors
• Track and maintain inventory of office supplies, PPE, and consumables
• Assist with local sales payment processing and petty cash handling
• Support with payroll preparation and timekeeping accuracy

HR & Compliance Support

• Provide general administrative support to the HR Manager
• Support employee communication, wellness initiatives, and engagement efforts
• Help maintain adherence to local health, safety, and compliance regulations and policies (including cannabis-related protocols)
• Ensure office documentation and procedures meet Dutch legal and industry compliance standards

Supportive Functions

In addition to the performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the supervisor based upon the requirements of the company.

• Represent Leli’s brand values: Safety, Responsibility, and Confidence.

Other Duties

Will be required to perform other duties as requested, directed or assigned. Regular attendance in conformance with the standards, which may be established by Leli Holland, a subsidiary of Village Farms International, Inc. from time to time, is essential to the successful performance of this position.

SAFETY REQUIREMENTS

Personal Protective Equipment (PPE) may be required when performing work duties that may have the potential of risk to your health or safety. The Company will provide the required PPE. Employees will be trained in the proper use and care of any assigned PPE. It is your responsibility to report defective, damaged or lost PPE, or equipment that does not fit properly to your Supervisor. This position operates in a professional office environment as well as a cultivation environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

• 3+ years in administrative, office management, or operations roles
• Strong organisational and multitasking abilities
• Excellent communication and interpersonal skills
• Able to handle confidential information with discretion
• A proactive, hands-on, can-do attitude
• Proficiency in Microsoft Office (Word, Excel, Outlook) and general tech-savviness
• Fluent in Dutch and English (spoken and written)
• Experience in a regulated industry (e.g. pharma, healthcare, cannabis, food production)
• Background in HR support or executive assistance
• Event planning or coordination experience

Licenses and Certifications

• Must be able to obtain Certificate of Conduct (VOG).

Schedule

• Willingness to work in shifts.
• Primary work location: Office within our facility in Groningen
• Standard working hours: Monday-Friday (36-40 hours/week)
• Occasional walking through production areas required
• May require lifting office supplies (up to 10kg) occasionally
