Over de functie

Als Front Office medewerker ben jij het hart van onze organisatie. Je bent het eerste gezicht dat cliënten zien, de stem die hen geruststelt en de spil waar de dagelijkse operatie om draait. Je schakelt moeiteloos tussen diverse taken, houdt het overzicht in een dynamische omgeving en zorgt er samen met je collega's voor dat alles soepel verloopt — voor cliënten én behandelaren.

Je bent onder andere verantwoordelijk voor:

• Het beantwoorden van mail en telefoon van patiënten en verwijzers

• Het helder informeren en registreren van nieuwe aanmeldingen

• Het ondersteunen van behandelaren bij administratieve taken en agendabeheer

• De communicatie met huisartsen, apotheken en andere zorgverleners

• Het inplannen van intakes en aanmaken van patiëntendossiers

• Het ontvangen en welkom heten van cliënten

• Facilitaire taken op de locatie(s)

• Ondersteuning bij projecten van de Manager Bedrijfsvoering en Front Office/HR manager

Jouw talenten

Je hebt 2 tot 3 jaar werkervaring in een (zorg-)administratieve functie

• Je bent proactief, enthousiast en hebt een echte can-do mentaliteit

• Je werkt nauwkeurig en hebt een sterk organisatorisch vermogen

• Je behoudt het overzicht bij een breed scala aan taken en pakt verantwoordelijkheid

• Je filtert snel de relevante informatie uit een grote stroom aan input

• Je bent toegewijd, flexibel, representatief, stressbestendig en communicatief sterk

• Je beheerst Nederlands én Engels uitstekend, zowel mondeling als schriftelijk

• Het Office pakket (Word, Excel, Outlook) kent geen geheimen voor jou

Een dag op de Front Office — hoe ziet die eruit?

Je opent het kantoor, zet koffie en zorgt dat alles er tip-top uitziet voordat je collega's binnenkomen. Je start het patiëntensysteem op en scant de mailbox: wat is urgent, wat kan later? Even bellen met je FO-collega in Amsterdam om de taakverdeling voor vandaag door te spreken.

Dan gaat de telefoon. Een patiënt wil een afspraak verzetten. Terwijl je dat regelt, komt er een mail binnen van een huisarts met vragen over een doorverwijzing. En nog een. En een patiënt staat aan je bureau. Ondertussen verwerk je receptaanvragen, verzekeringsmail en nieuwe aanmeldingen — zonder een slag te missen.

In de middag check je de agenda's voor volgende week, stuur je behandelplannen op, verwerk je brieven en neem je nieuwe telefoontjes aan. Er komt een spoedje tussendoor — jij schakelt direct. Aan het einde van de dag maak je de dossiers aan voor de intakes van volgende week, sluit je netjes af en ga je naar huis met het gevoel dat je er echt toe deed.

Geen dag is hetzelfde. En dat is precies wat jij zo leuk vindt.

About the role

As a Front Office Coordinator, you are the face of our organisation. You are the first person clients see, the voice that puts them at ease, and the anchor that keeps daily operations running smoothly. You move effortlessly between tasks, maintain calm in a dynamic environment, and make sure everything works — for clients and clinicians alike.

Your responsibilities include:

• Answering calls and emails from patients and referring practitioners

• Clearly informing and registering new referrals and patient enquiries

• Supporting clinicians with administrative tasks and diary management

• Communicating with GPs, pharmacies and other healthcare providers

• Scheduling intake appointments and creating patient files

• Welcoming and receiving clients at our locations

• Handling facilities and office management tasks

• Supporting projects led by the General Manager and Front Office Manager

Your profile

• You have 2 to 3 years of experience in an administrative role, preferably in healthcare

• You are proactive, enthusiastic and have a genuine can-do attitude

• You work with precision and have strong organisational skills

• You keep a clear overview across a wide range of tasks and take ownership naturally

• You can quickly identify what matters most in a high flow of information

• You are dependable, flexible, professional, resilient under pressure and a strong communicator

• You have an excellent command of both English and Dutch, written and spoken

• You are proficient in the Microsoft Office suite (Word, Excel, Outlook)

• Experience with Electronic Patient Record (EPR) software is a plus

What does a day at the Front Office look like?

You open the office, put the coffee on and make sure everything looks welcoming before your colleagues arrive. You start up the patient system and scan your inbox — what's urgent, what can wait? A quick call with your Front Office colleague in Amsterdam to align on the day's priorities.

Then the phone rings. A patient needs to reschedule. While you sort that out, an email comes in from a GP with questions about a referral. Then another. A patient appears at your desk. Meanwhile you're working through prescription requests, insurance queries and new registrations — without missing a beat.

In the afternoon you check next week's schedules, send out treatment plans, process incoming letters and take new calls. An urgent matter comes in — you act immediately and loop in the right colleague. By the end of the day, you've created two new patient files for next week's intakes, closed everything off neatly, and headed home knowing you genuinely made a difference.

No two days are the same. And that's exactly the way you like it.
